Users within specific roles have the ability to create Stores Requests. These are used to notify relevant departments within the company that stock/assets require to be picked for a job.
Locate the Job
- Go to the Operations category folder in the main menu and select Job Details:
- If the Job Number is known enter this number into the Job Number field and either select Search or hit enter on your keyboard the results will appear on the bottom half of the screen as shown:
- If the job number is not known, enter as much criteria as possible within the search fields to narrow your search. Either select Search from the toolbar or hit the Enter button on your keyboard to return the results.
Once you have located the required job number, double click on the grey box to the left of the Job Number to open:
How to Review and Update Mobilisation Request(s)
- Select the tab named Mobilisation Request, this will show all the items which are required from the stores department to meet the customer’s requirements:
Note: Each line will be colour coded to show if the items have been allocated to the job. Green = Fully Allocated, Red = Not Allocated/Partially Allocated
- To check for availability of equipment and stock, select Functions>Check Job Stock.
If there are no qty’s available, the system will advise which item(s) and by how many you are short.
Note: You will need to add qty’s into the system against the shortfall part number to satisfy the Mobilisation Request. Once you are sure that qty’s have become available or during daily checks, run the Check Job Stock to view updated location availability.
- Open the Mobilisation Request(s), either open each record individually or select Open All:
- To review the available quantities at each Stock Location, select the Location Requests tab:
- To select stock/assets from a location, within the grid, enter a Qty Required from Location against the relevant record:
- If the stock/assets are required from an external stock location (for example, your stock location is Location 1 where you are physically based, however you require stock/assets from Location 2 as your location has 0 qty), Check the Transfer Required box as shown:
Note: If viewing records in Open All, select the next arrow to move between records.
- Close the Mobilisation Request record(s) then Refresh, you will notice that the colour code has changed to Green for each item.
Note: The quantity entered in the Qty Requested from Location will be added to the Stores Request even if this is less than the Requested Qty for the Job.
How to Create a Stores Request
- Within the Job Details record, select Functions>Submit Requests for Picking.
The system will now send an email and reminder to the relevant contact(s) to the store location(s) with a list of the items which they are required to pick and assign to the job.
A window will also appear to show how many requests have been created.
- The system may open each Stores Request automatically (depending on your system set up), fill in the mandatory fields within the Stores Request (Hdr).
- To print the picking list, from the toolbar select Print, then Picking List(s) or Picking List with Asset Selection.
Note: - To view your Stores Request, select the tab named Stores Request.
Once the Stores Requests have been completed, you will be notified via the system.
