Users within specific access have the ability to turn Enquiries into Jobs.
How to Locate the Enquiry
- Go to the Sales category folder in the main menu and select Enquiries:
- If the enquiry number is known, enter this unique ref number within the Enquiry Number field, either select Search from the toolbar or hit the enter button on your keyboard and the results will be show in the bottom half of the window as shown:
If the enquiry number is not known, enter as much criteria within the search fields as possible, narrowing down the options for you to choose the correct enquiry ref, select Search from the toolbar or hit the Enter key on your keyboard to return the results.
- To open the enquiry to view the details, double click on the grey box to the left of the Enquiry Number column:
How to convert an Enquiry into a Job
Option 1 If enquiry is not approved:
- Review the Enquiries (Hdr) tab and enter any additional information into the fields if required.
- Select Functions>Request Approval.
- The following window will appear to advise that an email and a reminder has been sent to the relevant Approval by User.
- Once the Approved by User has reviewed and approved the enquiry, the responsible user will receive an email and a reminder to advise that the enquiry has been approved, double click on the grey area to the left of the Created By column:
Option 2 If enquiry is approved:
- Select Functions>Create Job.
A window will appear to advise the user that a new job will be created.
- A window will appear to request an award date if not already populated, this will be the date your company was advised that the client wishes to proceed with the enquiry or possibly the date on the customer PO.
Note: The system will open the Job Details automatically.
- The following fields will need to be populated on the Job Details (Hdr) tab (If Relevant) as these do not exist on the Enquiry dataset:
